Ceiba Strategies LLC is a small but growing company based on St. Croix. We design and manage innovative projects that protect the environment and strengthen Virgin Islands communities. Our work includes coral reef conservation, native tree planting, shoreline restoration, trail building, and youth environmental education. We partner with federal and territorial agencies, nonprofits, and mission-driven businesses.
To expand our impact, we’re growing our team. We’re seeking a thoughtful self-starter with a head for problem solving and a heart for community to work alongside our founder in managing projects, strengthening internal systems, and supporting client success.
Position Overview
The Executive Management Coordinator will streamline workflows across internal operations and external partnerships. You’ll manage priorities, track progress, and ensure timely follow-through—helping ideas move from planning to execution. You’ll also support leadership by organizing information, maintaining momentum, and identifying opportunities to improve how we work.
This is a hands-on role with a clear path to leadership. It begins with coordination and administrative support, then grows with you as you gain experience. Because we’re a small, integrated team, you’ll be exposed to many aspects of the business and given opportunities to step up as you're ready. Success means being organized, communicative, and willing to take ownership when something needs to be done.

Key Responsibilities
Project & Team Coordination

Track and organize ongoing workstreams, deadlines, and deliverables

Communicate assignments and expectations to team members, contractors, and partners

Maintain shared tools like calendars, spreadsheets, and task lists

Surface issues needing input or decisions from leadership

Ensure follow-through on delegated tasks

Communicate clearly and respectfully across the team
Executive Support
-
Participate in strategic discussions and help translate goals into action

Create or refine tools, templates, and processes that improve efficiency

Schedule meetings and prepare agendas and materials
-
Track high-level priorities and support business development activities
Community Collaboration

Represent Ceiba at meetings and events
-
Coordinate logistics for workshops, site visits, and public events

Maintain organized contact lists
-
Assist with outreach via email, newsletters, or social media
Qualifications
Required
-
Bachelor’s degree and 2+ years relevant experience (or equivalent)

Background in project coordination, operations, or executive support
-
Strong organizational and time management skills
-
Excellent written and verbal communication
-
Proficient with Microsoft 365 and task management platforms (e.g., Trello, Monday.com)

Able to work independently, anticipate needs, and handle confidential matters

Valid driver’s license and auto insurance for occasional local travel

Raised, educated, or professionally active in the U.S. Virgin Islands
Preferred
-
Experience in nonprofit, environmental, educational, or community work

Familiarity with grant writing and federal grant compliance

Knowledge of SharePoint and document management systems

Awareness of local ecology, culture, or environmental issues

Involvement in local groups or conservation efforts

Multilingual or cross-cultural experience

Compensation
Starting annual salary range: $45,000–$55,000, based on qualifications and experience. Compensation aligns with company policy, market benchmarks, and 2 CFR 200.430.
